Submissions to Council

How to Present an Issue to Council

What To Do
If you have an issue you wish to be considered by Town Council, submit a letter outlining your concerns and either:

Town staff will advise you when the item is scheduled to appear on a meeting agenda.

Please note, you do not need to be present at the Council meeting for Council to consider your issue. However, should you wish to supplement your letter by making a verbal presentation at the Council meeting, please follow the following procedure for requests to "appear as a delegation".

Individuals wishing to "appear as a delegation" should send a letter of request (or complete the attached form) providing sufficient detail to describe the topic, the presenters and meeting date they wish to appear. The letter/completed form should be submitted to the Clerk by 11:00 a.m. on the Thursday prior to the meeting. This procedure provides Council an opportunity to prepare, resulting in a prompt and informed response.

What Happens Next?
Once Council considers and makes a decision on your issue, you will be advised of the decision, in response to your letter (or request to "appear as a delegation").

Staff prepare "unofficial" minutes of Council meetings and Council considers and adopts the minutes at the next Council meeting. Once the minutes are formally adopted, they are available to the public and will be available for viewing on the website. Click here to view Council meeting minutes.



Please be aware that correspondence (including letters, emails, etc.) addressed to Mayor and Council is placed in its entirety on a public agenda to be addressed by Council in a public forum. In addition, correspondence received at a Council meeting will become part of the public record in the Town’s minutes. Council minutes are available to the public and are posted on the Town’s website upon adoption.
